As per ORTA by-laws, the ORTA General Assembly has to convene annually with at least 70 members or proxies required to attend out of 208 members.

If this attendance cannot be reached, the second meeting will be held at the same place on February 25th, 2024, Sunday between 1-4 pm, where one-third of the member's attendance will not be required.

This message is member-only. For members who are planning to attend, no further action is needed.

For those who may not attend, you are kindly requested to take two actions:

1. Members who would like to appoint a proxy for themselves, please send an email before the meeting similar to our sample below to proxy@ortapdx.org. Please make sure it covers your full name, your representative's full name, the intended coverage, and the event itself.

2. Friends who are currently on our member list (therefore receiving this message) but have had to move out of ORTA Territory for good (that is, the Greater Portland area, including Corvallis, Salem, and SW Washington, including Vancouver, WA), please identify yourself by replying to this email. We will gladly move you onto our announcement list. In this way, you do not need to attend personally or assign any proxy, but you can still hear all about our events.

At the meeting,

3. The attendance and proxies will be counted at the beginning of the assembly.

4. A session chair and a record keeper out of volunteers have to be elected by the quorum.

5. The main agenda for the meeting is as follows:

i. Review of 2023 by Chairman, Melike Kayım

ii. Review Auditor’s report

iii. Review and Approve the Financial Statement for January 2023–January 2024.

iv. Elect the next Executive Committee (voting with the raise hand feature)

Elections for President, Secretary, Treasurer, 2 Members, and 2 Associate Members will be held individually. It is all open to those who would like to be EC candidates or nominate another person. In this case, please send an email with candidate names and expected roles to contact@ortapdx.org by February 3rd, 2024.
